Coca-Cola of Northern New England is seeking an organized, personable and professional Office Administrator to join our team.

           

JOB DESCRIPTION

The Office Administrator will provide administrative support within a Sales & Distribution Center. Primary duties will include conducting accounts receivable research and reconciliation, supporting the sales and management team as requested, and performing miscellaneous duties to support the successful operation of all office functions. This position will also fill-in as needed to carry out settlement, cashiering, and accounts payable duties.

 

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Accounts Receivable:
    • Validate customer mail check requests
    • Draft credit memos and invoice corrections
    • Research charge backs, short pays and deductions
    • Process sales tax refunds

 

  • Sales Support:
    • Create, organize and customize presentations
    • Create and maintain reports
    • Process donation requests and employee sales
    • Enter call-in orders and hotshots
    • Submit and track Point of Sale orders
    • Order uniforms

 

  • Miscellaneous Duties:
    • Manage incoming / outgoing phone and email communications
    • Prepare letters, memos, and other routine correspondence
    • Receive and sort mail and other deliveries
    • Order office supplies
    • Coordinate facility events and meetings
    • Assist with new employee orientation and onboarding
    • Copying, proofreading, printing and other administrative tasks as assigned

 

  • Route Settlement:
    • Review and verify end of day driver paperwork
    • Ensure proof of deliveries are included in driver paperwork
    • Prepare driver paperwork for imaging
    • Maintain missing documents log
    • Research and resolve driver overages and shortages
    • Run daily route status report to verify that all delivery routes have been settled
    • Review settlement exception report and resolve issues
    • Report settlement issues to accounting department
    • Troubleshoot handheld issues impacting settlement

 

  • Cashiering:
    • Maintain cash reconciliation and driver deposit log
    • Perform cashiering duties including Fed-Ready status of deposit
    • Prepare deposit for pick-up by armored car service
    • Ensure security of route cash
    • Receive and verify full service bag count
    • Count full service cash and finalize handheld
    • Validate proper use of cash drop log

 

  • Accounts Payable:
    • Process invoices and check requests
    • Research payments
    • Process and reconcile P-Card statements
    • Review expense distribution report

 

JOB REQUIREMENTS

  • High school diploma, GED or equivalent required
  • Associate’s degree or equivalent preferred
  • 2-5 years of experience in an office environment required
  • Experience in cash room environment preferred
  • Strong analytical, organizational and problem solving skills
  • Strong attention to detail and accuracy skills
  • Basic proficiency in Microsoft Office applications including Outlook, Excel and Word
